Feedback perspectives are managed within the admin panel under the 'Feedback perspectives' tab.
Feedback perspectives are defined at the institute level. A selection of these perspectives can be grouped into a feedback perspective set.
Courses and programmes can either use an institute-wide set or create their own custom selection. By default, new courses and programmes will use the institute’s default feedback perspective set.
Note: Any changes made to feedback perspectives or sets are applied to existing data and take effect retroactively.
Feedback perspectives are primarily identified by their name, and can optionally be supported by an icon and color for clarity and visual distinction.
Each institute is free to determine which feedback perspectives best suit their educational context. However, we generally recommend using more generic names when defining feedback perspectives. This helps maintain clarity and avoids overwhelming users with excessive detail in dashboards and feedback overviews.
There is a trade-off between using highly specific perspectives — which may offer more detailed insights — and the risk of information overload, which can reduce the usefulness of feedback when evaluating a student’s overall development.

In these cases, we recommend sticking to broader categories like “Family” or “Medical expert”, as they typically provide enough context to support meaningful reflection and decision-making.
Each institute must always have one default feedback perspective set, which is used automatically when new courses or programmes are created, but can be overridden during the (manual) creation process.
By default, this set includes the following feedback perspectives:
Institutes are free to modify the default set to better align with their educational needs and context.
You can restrict access to specific feedback perspectives based on users' email addresses. For example, you may want to ensure that the “Teacher” perspective is only available to employees of your institute.
This is managed through an email domain whitelist (allowed domains). For instance, setting the domain to @employee.institute.edu
ensures that only users with matching email addresses can use that perspective.
If your institute uses different domains for each faculty, you’ll need to add each one individually — for example, @faculty1.employee.institute.edu
and @faculty2.employee.institute.edu
.
If no domains are configured, the perspective is available to all users within the course or programme that uses it.
Some feedback perspectives are essential for the correct functioning of eJournal’s core features. Currently, these include:
These perspectives cannot be deleted, as they are tied to key system functionality. However, you can rename them to better align with your institute’s terminology. For example, "Student" might be more appropriately labeled as "Learner".
We recognize that defining the ideal set of feedback perspectives for your institute is more of an art than an exact science. It’s natural for adjustments to be needed over time, and the system supports making these changes smoothly.
In addition to creating and editing feedback perspectives and sets, the following administrative actions are available to help manage them:
You find these actions for each feedback perspective in the 'Actions' column under the '...' menu.
Your institute might decide that a feedback perspective, say “Mentor” and “Study Advisor” are too specific, and would be better combined into a single, more generic perspective: “Coach”. In this case, it is possible to migrate existing feedback from Mentor and Study Advisor to Coach.
After the migration, the now-unused perspectives can either be archived or deleted (if no longer in use).
Your institute may decide that a feedback perspective, say "Study advisor" should no longer be used, but existing dashboards and feedback overviews should remain unchanged.
In this case, it makes sense to archive the Study advisor perspective. Archived perspectives are no longer available for use within course and programme contexts, but any feedback previously given with that perspective will continue to appear in dashboards and feedback overviews.
Archived feedback perspectives can be restored at any time. Once restored, they become available for use again within course and programme contexts.
A feedback perspective can only be deleted if it is not used by any feedback, whether published or unpublished.
If you want to delete a perspective that is currently in use, the following steps are recommended:
Note: Deleting a feedback perspective is permanent and cannot be undone. While you can recreate the perspective later, any courses or programmes that previously included it will need to manually add it again.
